Please read these terms carefully before booking our services

These Terms and Conditions govern your booking and participation in retreat weekends and corporate wellness programmes operated by Corpus Fitness Ltd (trading as Corpus Health+Fitness). By making a booking or engaging our services, you agree to be bound by these terms.

1. Definitions

  • "We", "us", "our" refers to Corpus Fitness Ltd trading as Corpus Health+Fitness.
  • "You", "your" refers to the person making the booking or engaging our services.
  • "Retreat" refers to our multi-day health and fitness retreat weekends.
  • "Services" refers to all services provided by us including retreat weekends and corporate wellness programmes.

2. Bookings and Payment

2.1 Retreat Weekend Bookings

  • To secure your place on a retreat weekend, a deposit of £200 per person is required at the time of booking.
  • The £200 deposit is non-refundable under all circumstances, however it may be transferred to a later retreat date subject to availability and our approval.
  • The balance of the retreat fee must be paid in full no later than 8 weeks before the retreat start date.
  • Bookings made within 8 weeks of the retreat start date require full payment at the time of booking.

2.2 Corporate Wellness Services

  • Corporate bookings will be invoiced as agreed in the proposal and service agreement.
  • Payment terms are typically 30 days from invoice date unless otherwise agreed in writing.

3. Cancellations and Refunds

3.1 Cancellation by You

  • The £200 deposit is non-refundable in all circumstances, but may be transferred to a later retreat date subject to availability and our written approval.
  • If you cancel more than 8 weeks before the retreat start date, any balance paid beyond the deposit will be refunded in full.
  • If you cancel between 4-8 weeks before the retreat start date, 50% of the total retreat fee (less the deposit) will be refunded.
  • If you cancel less than 4 weeks before the retreat start date, no refund will be provided.
  • All cancellations must be notified to us in writing via email to hello@corpushealthfitness.com.

3.2 Cancellation by Us

  • We reserve the right to cancel a retreat if minimum participant numbers are not met or due to circumstances beyond our control.
  • If we cancel a retreat, you will receive a full refund of all payments made, including the deposit, or the option to transfer to an alternative retreat date.

4. Transfer of Bookings

  • You may transfer your booking to another person at any time, subject to our approval.
  • You may transfer your booking to another retreat date subject to availability and our written approval.
  • All transfer requests must be made in writing and approved by us before they are effective.

5. Health and Medical Conditions

  • You must disclose any relevant medical conditions, injuries, or health concerns that may affect your participation at the time of booking.
  • We reserve the right to refuse participation or request medical clearance if we have concerns about your ability to safely participate.
  • You are responsible for ensuring you are physically fit to participate in the activities.
  • If you have any concerns about your fitness level or health status, you should consult your doctor before attending.

6. Liability and Insurance

  • You participate in all activities at your own risk.
  • We carry public liability insurance, but you are strongly advised to obtain your own personal travel and health insurance.
  • We are not liable for any loss, damage, or injury sustained during the retreat except where caused by our negligence.
  • We are not responsible for loss or damage to personal belongings during the retreat.

7. Conduct and Participation

  • You are expected to conduct yourself in a respectful manner towards other participants and our staff.
  • We reserve the right to remove any participant whose behaviour is disruptive, dangerous, or unacceptable.
  • No refund will be provided if you are removed from a retreat due to unacceptable conduct.

8. Accommodation and Meals

  • Retreat fees include accommodation and meals as specified in the retreat details.
  • We will make reasonable efforts to accommodate dietary requirements if notified in advance.
  • Room allocations are at our discretion and based on availability.

9. Photography and Marketing

  • Photos and videos may be taken during retreats for promotional purposes.
  • By attending, you consent to us using such media in our marketing materials unless you notify us in writing that you do not wish to be included.

10. Force Majeure

We are not liable for failure to perform our obligations due to circumstances beyond our reasonable control, including but not limited to natural disasters, pandemics, government restrictions, venue closures, or travel disruptions. In such cases, we will work with you to reschedule or provide alternative arrangements where possible.

11. Changes to Programme

  • We reserve the right to make reasonable changes to the retreat programme, schedule, or instructors.
  • We will notify you of any significant changes as soon as possible.

12. Data Protection

We collect and process personal data in accordance with UK data protection legislation. Your information will only be used for the purposes of providing our services and communicating with you about them. We will not share your data with third parties except where necessary to deliver the services (e.g., accommodation providers).

13. Complaints

If you have any concerns or complaints, please notify us immediately at hello@corpushealthfitness.com. We will make reasonable efforts to resolve any issues during the retreat. Complaints made after the retreat should be submitted in writing within 14 days of the retreat end date.

14. Governing Law

These Terms and Conditions are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
